Before You Leave Home: The Pre-Boarding Checklist

Your first 24 hours actually starts before you reach the terminal. Skipping these steps is the #1 cause of embarkation day stress. Complete everything below at least 48 hours before your sailing.

The Non-Negotiables

  • Download the Virgin Voyages app and complete online check-in. Upload your passport photo, select your arrival time, and add your payment method. This is mandatory—you cannot board without it.
  • Print your luggage tags from the PDF link emailed 72 hours before embarkation. Attach them to every checked bag.

The Smart Moves

  • Pack a carry-on with essentials. Swimsuit, sunscreen, medications, phone charger, and your passport. Your checked luggage may take 2+ hours to reach your cabin. Don’t check your passport in your luggage.

If there is one piece of advice that defines your entire first day, it’s this: board as early as humanly possible. The difference between boarding at 12:30 PM and 4:00 PM is night and day. Early boarders get first pick of spa appointment times, first crack at newly released dining reservations, uncrowded pools, empty decks to explore, and a calm, unhurried start to vacation mode.

Let’s call it what it really is. Yes, you get champagne, cold-pressed juices, and spa passes—but the real value of Splash of Romance is getting onboard by 1:30 PM. That extra 45+ minutes before standard boarders arrive is the difference between a relaxed first afternoon and fighting for pool chairs. If you’re a first-timer, this is our single strongest recommendation. It sets the tone for your entire voyage.

You’re Onboard — Now What? (First 30 Minutes)

You’ve cleared Terminal V, walked the gangway, and the Happenings Cast has welcomed you aboard with music and energy. The temptation is to beeline for the pool. Resist it. You have about an hour before the ship gets busy, and these first steps will pay dividends all week.

Step 1: Drop Your Carry-On in Your Cabin (5 minutes)

Your cabin is ready the moment you board—Virgin doesn’t make you wait. Drop your bag, admire the Seabed, resist the urge to nap, and head back out. You’ll have plenty of time to explore your cabin later. Your checked luggage will arrive within a couple of hours.

Step 2: Connect to Sailor WiFi Immediately (5 minutes)

This is critical. Open your WiFi settings and connect to “VirginVoyages-SailorWiFi.” Enter your cabin number and date of birth (MM/DD/YYYY format). Turn off your VPN first—it will block the connection. If the login page doesn’t pop up automatically, navigate to wifi-vv.com in your browser.

Your WiFi tier depends on your VoyageFair fare: Base gets Basic (1 device, social media and messaging), Essential gets Classic (faster, 1 device), Premium gets Premium (2 devices). You can upgrade anytime through the app.

Step 3: Open the App and Check the REAL Schedule (10 minutes)

Here’s what most first-timers don’t realize: the ship schedule you see before boarding is approximate. The real, confirmed schedule—exact show times, party times, event locations—only appears in the app once you’re connected to ship WiFi. Open the app, go to Discover > Lineup, and look for:

  • Sail Away party time (usually 5:30 PM from Miami, varies by port)
  • Scarlet Night date—it’s NOT night one; it’s typically mid-voyage (night 2 or 3 on shorter sailings)
  • Grog Walk time (usually 9 PM on night one—book this NOW if interested)
  • PJ Party time (usually 11 PM on night one)
  • Entertainment shows—the Red Room and Manor shows fill up; book early

Step 4: Confirm and Adjust Dining Reservations (10 minutes)

Once connected to ship WiFi, new reservation slots open up that weren’t available pre-cruise. Check your existing reservations in the app under Agenda, then look for any open slots at restaurants you couldn’t get before. If something’s full, join the waitlist—the app will notify you when a table opens. Dinner time slots run from 5:45–10 PM.

Step 5: Book Spa Appointments (15 minutes)

The Redemption Spa fills up fast, especially for sea days. Open the app and book your preferred treatments now—browsing the menu and securing your ideal time slots takes a solid 15 minutes. If you have Splash of Romance, your 3-hour thermal spa passes are already activated—but you still need to book specific treatment times for massages, facials, and other services.

Step 6: Complete the Muster Drill (10 minutes)

Virgin uses a simple two-step muster system. First, watch the mandatory safety video in the Virgin Voyages app (takes about 5 minutes). Then, around 4:00 PM, walk to your assigned muster station (listed on your cabin door and in the app) and scan your wristband to check in. Both steps must be completed before the ship departs. Pro tip: knock out the video early, then head to your station right at 4 PM when lines are shortest.

2:30–5:00 PM: Explore, Eat, and Get Your Bearings

With your logistics handled, the next two hours are about settling into vacation mode. This is your time to walk the ship, grab your first meal, and discover the spots you’ll return to all week.

Walk the Ship Deck by Deck

Spend at least 30 minutes just walking. The Lady Ships are 17 decks of surprises, and understanding the layout now saves confusion later. Here are the key landmarks to find:

  • Deck 5: The Red Room (main theatre), Razzle Dazzle, Pink Agave
  • Deck 6-7: The Roundabout (central hub), The Dock and Dock House (aft), Extra Virgin, Gunbae, The Wake

Your First Meal: Head to The Dock (Not The Manor)

Most first-timers head straight to The Galley on Deck 15 because it’s the obvious food hall. It’s great, and it’s there all week. But our recommendation for your first meal onboard? Go to The Dock on Deck 7 aft.

The Dock House is a Mediterranean-inspired open-air bar and grill with one of the best views on the ship—directly over the wake, with sea breeze and live music. It’s relaxed, it’s beautiful, and it serves some of the best casual food onboard. If you love seafood, order the grilled shrimp. It’s a sleeper hit that regulars know about and first-timers walk right past. Pair it with a cocktail, a mocktail, or just a sparkling water—whatever your vibe. Soak in the fact that you’re actually on a ship. This is where vacation starts.

5:00–7:00 PM: The Sail Away Party

This is the moment. The ship pulls away from port, the DJ drops the music, complimentary bubbles flow, and 2,770 adults collectively exhale. The Sail Away party is the emotional starting gun of your voyage, and you do not want to miss it.

When and Where

The party happens on Decks 15–16 at the Aquatic Club pool area. From Miami, it starts around 5:30 PM (earlier at some ports—check your app). Be on deck by 5:15 to grab a good spot. If weather doesn’t cooperate, it moves indoors to The Roundabout on Decks 6–7.

What to Expect

The resident DJ kicks things off with high-energy poolside music. The Happenings Cast mingles, dances, and leads the crowd in a champagne toast as the ship pulls away. Free bubbles are served around the pool. It’s loud, joyful, and emotional—especially if this is your first sailing.

Bring your phone for photos (the port departure views are stunning), but put it away for the toast. You’ll remember this moment.

7:00–9:00 PM: Your First Dinner

After the Sail Away party, it’s time for your first dinner at one of Virgin Voyages’ 20+ included restaurants. There are no assigned dining times, no table assignments, and no dress code requirements—just incredible food at whichever restaurant you’ve booked (or walk into).

Best Night-One Dinner Picks

  • The Wake: Steaks and seafood with stunning wake views. A celebratory first meal that sets the tone for the whole voyage.
  • Pink Agave: Modern Mexican with bold regional flavors. Often less booked on night one since people don’t know about it yet—take advantage.
  • Test Kitchen: Yes, Test Kitchen is open on night one. Multi-course tasting menu with optional wine or cocktail pairings ($30–$45). A memorable way to kick things off if you’re a foodie. Heads up: Test Kitchen can easily run 2+ hours, so book early (6:00 PM) if you have evening plans like the Grog Walk.
  • Lucky Lotus (Scarlet Lady) / Rojo (Brilliant Lady): Ship-exclusive restaurants you can’t get anywhere else in the fleet. Lucky Lotus serves Pan-Asian cuisine on Scarlet Lady; Rojo is Brilliant Lady’s Spanish-inspired restaurant. If you’re on either ship, night one is the time to try the exclusive spot.
  • Gunbae (Korean BBQ): Communal and interactive—you cook at the table, and drinking games break the ice with fellow Sailors. Perfect for a social first night. Fair warning: Gunbae can stretch to 2 hours depending on how social your table gets, so book early (6:00 PM) if you’re doing the Grog Walk later.
  • The Galley: Always available, no reservation needed. Perfect if you want quick and casual after a big Sail Away.
Timing Tip: If you’re doing the 9 PM Grog Walk, book dinner for 7:00 PM at most restaurants—you’ll be out by 8:15–8:30 PM with time to freshen up. The exception: Test Kitchen and Gunbae both run long (easily 2+ hours), so book those at 6:00 PM if you want to make the Grog Walk comfortably.

9:00 PM: The Grog Walk (If You Want to Meet People)

If you have even a remote desire to meet other Sailors during your voyage, the Grog Walk on night one is the move. It’s Virgin Voyages’ signature bar crawl—a guided tour of four bars led by the Happenings Cast, complete with specialty cocktails, snacks, and a fun mask so you can spot fellow Grog Walkers all week.

  • Time: Usually 9–11 PM on night one (check the app for your sailing)
  • Cost: $50/person, which includes four specialty cocktails and snacks at each stop
  • How to book: Through the app once you’re connected to ship WiFi. Book early—spots are limited.
  • Perfect timing: The Grog Walk ends right as the PJ Party kicks off, with a built-in break to change into pajamas

11:00 PM: The PJ Party

Your first night ends (or really begins) at Virgin Voyages’ legendary PJ Party—a ’90s and ’00s throwback dance party where 2,000+ adults show up in everything from silk robes to dinosaur onesies. It’s ridiculous, it’s fun, and it’s the moment you realize this is NOT your parents’ cruise.

What to Know

  • Time: 11 PM on night one (usually at the Athletic Club on Deck 16; moves to The Manor in bad weather)
  • Dress code: Pajamas. Anything goes—fluffy onesies, matching couple sets, racy negligees, classic flannel. There’s a costume contest with prizes for best dressed.
  • The vibe: The Happenings Cast leads a ’90s/’00s sing-along disco with crowd-favorite moments including the legendary “Who Let the Dogs Out” number with oversized dog mascots.
  • Duration: Plan for at least an hour. Some Sailors party until 2 AM.

CamJon Top 100 First Mate Tip: Don’t Skip the PJ Party
We hear this a lot: “I’m too tired after embarkation day.” Push through. The PJ Party only happens once per voyage, and it’s one of the most talked-about experiences on the entire ship. Day two is usually a sea day (or an easy port day), so you can sleep in. Bring fun PJs, grab a drink, and let go. You won’t regret it.

Day Two Morning: Take It Easy — You’ve Earned It

On most 5+ night voyages, day two is a sea day—sleep in, grab coffee, and ease into it. But shorter sailings (like 4-night Fire & Sunset Soirées) may have a port stop on day two, such as Key West. Check your itinerary in the app before you crash so you know whether to set an alarm or not. Either way, The Galley serves breakfast all morning.

When You Do Wake Up

  • Coffee first: Drip coffee and tea are included in every fare. Head to The Galley or grab it from the bar on your deck.
  • Check the app: The full day’s entertainment lineup is in Discover > Lineup. Sea days are packed with fitness classes, karaoke, live music, deck parties, and workshops.
  • Group fitness: Yoga, HIIT, cycling, boxing, and meditation classes are all included. Book through the app if you want a specific time.
  • Explore what you missed: Day two is your chance to find the hidden gems: secret venues, Squid Ink (the tattoo parlor), vinyl spinning at the record shop, The Groupie karaoke rooms, and the Athletic Club rooftop.
  • Late-night prep: Check when Scarlet Night is (often night two or three). Start planning your red outfit.

5 Mistakes First-Timers Make on Embarkation Day

After helping hundreds of Sailors, these are the mistakes we see over and over—and how to avoid them.

  1. Arriving at their assigned time instead of earlier. Your assigned time is a firm check-in window—you can’t arrive before it. But you can select the earliest available slot in the app, or invest in Splash of Romance for priority boarding.
  2. Not connecting to WiFi immediately. The app doesn’t show the real ship schedule until you’re on ship WiFi. People miss Grog Walk bookings, spa slots, and dining openings because they waited until evening to connect.
  3. Skipping the muster drill until the last minute. If you don’t complete it before departure, crew will find you. Do it early when there’s no line and get it over with.
